Medical Equipment Moving Checklist
A step-by-step pre-move, in-transit, and delivery checklist
1. Pre-Move Planning & Site Survey
Complete these steps at least two to four weeks before the move date to avoid delays.
- Confirm make, model, weight, and crated dimensions of every unit.
- Obtain the OEM de-installation and handling requirements for each device.
- Perform an origin and destination site survey: door widths, hallway turns, elevator capacity, and floor load ratings.
- Identify power-down, helium/cryogen, and calibration requirements for MRI and CT systems.
- Verify certificate of insurance limits match the replacement value of the equipment.
- Schedule any required OEM or biomed engineer for de-install and re-install.
- Confirm loading dock access, liftgate needs, and parking permits at both ends.
2. De-Installation & Packing
- Back up all software, patient data, and system configurations before power-down.
- Follow OEM shutdown sequence; document cable positions with photos.
- Remove and separately pack detachable components, coils, and detectors.
- Use anti-static and moisture protection for sensitive electronics.
- Build custom crates with foam-in-place or cradle bracing for each unit.
- Label every crate with orientation arrows, weight, and handling instructions.
3. Rigging, Loading & Transport
- Use rated rigging equipment and trained crews for units over 500 lbs.
- Load onto air-ride, climate-controlled trailers to limit shock and vibration.
- Secure all crates with rated straps and blocking to prevent shifting.
- Apply shock and tilt indicators to high-value imaging equipment.
- Maintain chain-of-custody documentation and real-time GPS tracking.
- Confirm route clearances for oversized or overweight loads.
4. Delivery, Installation & Sign-Off
- Inspect shock/tilt indicators and crates for damage before unloading.
- Move units to final location using floor and doorway protection.
- Uncrate, position, and level equipment per OEM specification.
- Coordinate OEM/biomed re-installation, calibration, and QA testing.
- Document delivery condition with photos and obtain signed proof of delivery.
- Dispose of or return crating materials per facility policy.
